What we collect

Orders: name, email, phone (optional), items purchased, and, for shipped orders, a shipping address. Card details go directly to Stripe, our payment processor; we never see or store them. Forms: what you type into the artist registration, sponsor, press and newsletter forms, tagged by source. For registrants under 18 we additionally collect a parent/guardian’s name, email and consent, and nothing without it. Analytics: usage data via Google Analytics 4 and, with your consent, Meta and X pixels.

What we use it for

Delivering what you bought (tickets, merch, confirmations, the scheduled pre-order updates), running the door check-in, replying to inquiries, sending the newsletter you signed up for, and understanding how the campaign performs. Email lists sync to our CRM, tagged by how you joined. We do not sell personal data.

Cookies & consent

Essential cookies keep checkout and the staff area working. Non-essential trackers (analytics pixels) load only after you opt in via the cookie banner: declining is the default and the site works fully without them.

Sharing & retention

Data is shared only with the processors that run the site: Stripe (payments), our email delivery provider, our hosting provider, and analytics services you consented to. Order records are kept as long as accounting law requires; marketing lists until you unsubscribe (every email has the link); registration data through the program and one season beyond.

Children’s data · The Loom Youth Prize

The Youth Prize entry form collects personal data about children aged 6 to 17, always submitted by a parent or guardian with their explicit, separate consent (as US law, COPPA, requires for under-13s). What we collect: the child’s first name and age, the guardian’s contact details, city, an optional school name, and a photograph of the artwork. What it is for: running the contest, judging, the shortlist, the exhibition and the awards, and nothing else.

We never collect a child’s surname. Published credit is first name, age and city only. School names are for our outreach records and are never published without separate written consent. No entrant data is ever shared with sponsors. Judges see anonymised entries, bracket, title and artwork only. Photographs of non-winning entries are deleted within 90 days of the event unless the guardian opts in to the online gallery.

A guardian can review, correct or delete their child’s entry and data at any time: team@opulx.io. We answer within 30 days, usually much faster.
